Our client, a professional regulatory body, is looking for a Student Registration Manager to joint their team on for a 4 – 5-month contract!  The position operates within a technology environment of system complexity, with both internal and external stakeholders. Principal requirements include compliance with statutory and regulatory requirements, dealing with sensitive and confidential information, data accuracy, quality and integrity, timely and efficient processing of documentation (digital, electronic format and paper), data analysis and reporting and maximization of technology tools, resources and opportunities. This position oversees a broad range of functions and business processes within the Student Assessments and Registration area.


  • Student registration application and approval processes ensuring regulatory compliance, accuracy, the confidentiality of sensitive information (i.e. good character and criminal declarations) and accountability for meeting agreed to SLA (service level agreements) and processing times
  • Admission to membership application eligibility review processes for students eligible for the legacy and designations ensuring timeliness, accuracy, regulatory compliance, the confidentiality of sensitive information with accountability for meeting agreed to SLA
  • Student status change processes and communications: including suspension, reinstatement, de-registration and withdrawal
  • Annual Student Dues project
  • Quality control processes for student registration data, ongoing and applicable data integrity processes
  • Student provincial registration files transfer process ensuring timeliness, accuracy, and regulatory compliance
  • Facilitate the Admission and Registration Committee appeals processes including responses of the VP, Student Services
  • Recommend, implement, document and manage student registration and admission eligibility operational workflows and processes, monitoring weekly key performance indicators to align with targets ensuring compliance with all applicable statutory requirements and the bylaws, regulations and Council policies
  • Identify and implement efficiencies with a focus on improving student experience, process and delivery enhancements while reducing risk
  • Participate in advancing department specific business initiatives
  • Prepare escalated or precedent setting files for VP, Student Services review
  • Collaborate with other business units to manage and execute various initiatives including management of priority projects and objectives through to completion
  • Provide leadership, direction and coaching to team of five Registration Coordinators and one Registration Specialist, including establishing goals and objectives, evaluating performance and providing opportunities for development
  • Review student-facing communications, including website updates, forms and letters to ensure quality student experience, as well as process and regulatory compliance
  • Partner with the Assessment and Registration department’s Query Specialist(s) to monitor incoming queries (phone and email) as applicable and providing solutions to student/applicant pain points
  • Participate as part of the larger Assessments and Registration Management team in projects including the annual external reporting requirements for the Ontario Fairness Commission (OFC) and the Public Accounting Council (PAC)
  • Additional special projects as required


  • Post-secondary degree, diploma, or equivalent is required
  • Demonstrated ability to work effectively and efficiently within a complex, regulatory, rules-based and process-oriented environment using a large and advanced database such as iMIS or CRM
  • Prior experience or familiarity working with Salesforce is an asset
  • Demonstrated competency in project work flow management developed within a business setting with a focus on identifying and communicating issues, facilitating results and ensuring timelines and deadlines is required
  • Demonstrated experience in the training and supervision or management of direct reports and in the monitoring and evaluation of staff performance with reference to identified and formally articulated performance measurement indicators is required
  • Self-directed, motivated, accountable, and performance and results-driven
  • Superior critical and creative thinking, problem-solving and judgement skills required
  • Highly effective interpersonal skills and ability to positively relate to people at all levels
  • Superior written and verbal communication skills with a student-first mindset
  • Ability to carry out responsibilities with patience, poise, tact and diplomacy, and adapt to change
  • Previous experience working in a fast-paced, deadline driven environment with proven time-management skills and the ability to remain organized, multi-task and prioritize conflicting demands is required
  • Ability to motivate others and to foster and maintain teamwork
  • Demonstrated attention to detail and accuracy with strong analytical skills
