Our client, a prestigious financial institution, is seeking a receptionist to work in the afternoon/evening at their Toronto office. Working as part of a four-person reception team, you will be the first point of contact for guests on site and on the phone, as well as providing administrative support to the wider team.   • Be first point of contact for guests on site and on the phone, greeting guests at reception and transferring calls as necessary
  • Coordinate and manage meeting room requests and calendars, proactively address scheduling conflicts
  • Maintain and set up meeting rooms throughout the day  
  • Organize and distribute incoming mail, arrange outgoing mail and couriers
  • Manage facilities and property requests as required, including cleaning requests
  • Maintain staff kitchens, restock and reorder beverages and snacks as needed
  • Carry out inventory and order stationery as required
  • Provide administrative support to the wider administration team, including binding, filing, scanning
  • Ad-hoc administration duties such as invoice reconciliation, vendor management and project work



  • Minimum of 2 years related experience
  • Post secondary education preferred
  • Polished and professional with excellent communication skills
  • Strong collaboration and teamwork sills
  • Proactive and able to work independently and problem-solve
  • Proficient in Microsoft Outlook, Word, Excel and PowerPoint
  • Discretion and high degree of integrity when dealing with confidential information
