Project Assistant - Temporary

Duration: 4-6 month contract

Our client, a professional association, is looking for a Project Assistant to provide temporary support to their team. The Project Assistant will be responsible for providing EMS project assistance including data clean-up, CASL compliance, auditing and creating training material and providing coordination support.

Responsibilities

  • Responsible for data clean-up:
    • Update all records with level of seniority
    • Remove records from inbox email verification test
    • Update records with missing data
    • Update records with missing CASL consent/proof
    • Remove duplicate records
    • Terminate records with no email address
    • Link individuals to company records
  • Input non-transactional engagement data (committees, event speakers, awards judges, web content)
  • Compile all data from outside the database and ensure consistency/ primary key
  • Create repository of consent forms
  • Assemble Excel spreadsheets of all members who have consented on each form
  • Assist with CASL compliance program development and execution (regular audits, etc.)
  • Create mock-up reports
  • Complete process documentation
  • Assist with customer journey mapping
  • Assist with development of preference centre "matrix"
  • Maintain project tracking spreadsheet and monitor timelines
  • Schedule meetings
  • Assist with creating testing frameworks/methodologies/tools
  • Coordinate with internal staff and external vendors
  • Assist with testing and quality control
  • Ensure results/deliverables are consistent with requirements as laid out in requirements documentation and SOW
  • Assemble training documentation and manuals
  • Assist with staff training sessions
  • Assist with website transition, if required (blog archiving, content categorization, etc.)

Qualifications

  • 2 to 3 years of experience with project assistance/ coordination
  • Marketing experience an asset
  • Proficient with Microsoft Office suite, especially Microsoft Excel
  • Database management experience an asset
  • Candidate must be structured, rigorous, dynamic and autonomous
  • Attention to detail is essential for success in this role
  • Capacity to manage multiple projects simultaneously
  • Demonstrated problem-solving skills
