Our client, a global leader in the food service industry, is currently seeking a Project Administrator in the Toronto office for a temporary to permanent position. Our client requires an individual who is adaptable and can effectively manage competing responsibilities. Project Administration: 
  • Manages the request for new site ID’s for potential new locations
  • Creates and administrates development projects in Oracle-based software.  Process responsibilities include, but are not limited to:
    • Creation of due diligence and final budgets for new development and reinvestment projects
    • Issuing purchase orders related to real estate and construction.
    • Assist with the tendering process for new construction projects and verifying all necessary paperwork has been submitted by GC prior to construction ground break.  As well, to manage and assist with GC contract approvals, monthly draws, change orders and retainage release.
    • Managing change requests and updating purchase order for consultants and equipment suppliers.
    • Processes any cheque requests and/or letters of credit required for new development.
    • Creation of final project budgets and purchase orders, including submitting RFQ’s for construction phase.
    • Completion of the final project reconciliation and meeting the required 150 day close out deadline for all construction projects
    • Monitor and occasionally assist with receipting for payment of invoices
  • Monitor and update key dates and information in databases as required for reporting purposes.
  • Ensures that site files are organized, maintained, updated and contains required information on checklist for audit requirements.
  • Set up new suppliers, consultants & GC in accounts payable system and assist with training.
  • Cost Estimate Records (CER’s):
    • Assist with scanning the documents prior to submitting for approval
    • Follow-up on the status of CER’s & communicates approvals
  • Schedules and coordinates requirements for monthly regional meetings and other meetings as required.
  • Run reports as required – 5 Year Sales, Demographics, etc.
  • Administrative support for Regional Construction Department and additional department support including meetings, travel plans, calendars etc.
  • Sharing administrative functions such as, opening and distributing departmental mail.
  • Fosters the development approach within the region, working closely with Real Estate, REF and AP teams.
  • Maintains relationships among the regional staff, general contractors, suppliers, and franchisees.
  • Coordinate the Legal Docs Files requirements with the Lease Administrator.
  • Prepare landlord information sheets
  • Prepare legal & correspondence files
  • Prepare and send ALCD’s and EFT docs to Accounting team for processing.
Asset Management:
  • Maintain landlord contact information and issue notification of changes
  • Prepare landlord approval letters.
  • Update critical dates for renewals.
  • Assist in preparing Estoppel Certificates as required.
  • Invoices – code and process invoices for Excess sites on a monthly basis.
  • Assist with scanning and emailing notices/letters received to franchisees, restaurants or other regions.
  • Follow-up with AP on payment status of invoices.
  • 3-5 years of related work experience
  • Proven project coordination skills and a Real Estate and Construction administration background would be an asset
  • Excellent computer skills using Microsoft Office products:  Word, Excel and PowerPoint
  • Have a strong knowledge (or ability to gain knowledge) of Oracle, including head office departments, regional offices and restaurants would be definite asset
  • Outstanding written and verbal communication skills
  • Ability to read and understand legal documents
  • Numerical aptitude would be an asset
  • Well organized, with excellent multi-tasking and prioritizing skills with the ability to work on multiple projects at any given time, with tight deadlines - while still maintaining a high level of accuracy and attention to detail
