Executive Assistant (Downtown Toronto)

Salary up to $65,000 + Bonus + Benefits + 3 Weeks’ Vacation!!

Our client, a leader in the financial industry and one of Canada’s Top Employers, is seeking an Executive Assistant to join their busy team! In this exciting new role, you will provide high-level support to several Executives within the organization, with full discretion and management of the Executives’ calendars and email correspondence. As this is a newly created position, it is a great chance for an experienced EA to make an impact within a large and well-known organization. Responsibilities:

  • Extensive calendar management for Executives; coordination, scheduling, booking meeting rooms and preparing all necessary documentation
  • Complex international travel arrangements
  • Prepare and review expense reports, and develop an efficient system for filing and retrieval of financial information
  • Plan and execute internal and/or client events and liaise with vendors, catering and venues
  • Manage the Executives’ email inbox and correspondence, including incoming and outgoing mail; flag urgent issues for Executives’ attention  
  • Build and maintain excellent professional relationships with colleagues and external clients
  • Oversee onboarding for all new employees; provide coaching and mentoring for more junior administration professionals
  • Identify, recommend and develop business process improvement opportunities
  • Screen incoming telephone calls and proceed/respond appropriately
  • Conduct extensive client research, compile research packages and brief Executives prior to client interactions

Qualifications

  • 5+ years of experience in a professional support role in a high-volume, fast-paced environment
  • Undergraduate degree or post-secondary education preferred
  • Knowledge of financial processing standards and analysis methodologies an asset
  • Excellent organizational skills with the ability to condense complex information into a cohesive and professional format
  • Detail-oriented with superior time management and multitasking skills
  • Highly proficient with the MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Exceptional communication skills; the ability to communicate appropriately with individuals from all levels of the organization as well as outside stakeholders
