Administrative Assistant/Project Coordinator

Salary up to $62,000 + Great Bonus + Terrific Benefits + Pension Plan + 3 Weeks’ Vacation!!!

Our client, an international industry leader, is seeking an Administrative Assistant/Project Coordinator to support their Vice President of Human Resources and HR team. In this role, you will provide high-level administrative support to the HR team, manage a complex calendar using your own discretion, and coordinate, plan and execute meetings and events.   • Manage the VP’s complex calendar; schedule all conferences, calls and meeting requests appropriately and communicate any changes to the relevant parties promptly
  • Serve as the primary point of contact for all stakeholders regarding matters requiring the attention of the VP; manage all incoming and outgoing communication for the VP and escalate requests if necessary
  • Make travel arrangements, prepare and file communications, and prepare expense reports, spreadsheets, presentations and other materials for the HR team
  • Support employee onboarding process through conducting references and background checks
  • Schedule various HR meetings (weekly departmental meetings, monthly international HR leadership meetings etc.); prepare agendas, take minutes, follow up on action items etc.
  • Plan and execute events including preparation of the meeting space, catering, preparing materials and making travel arrangements as required
  • The ability to work on specialized ad hoc projects that are HR related  


  • 3+ years of experience in an administrative support role with a special projects component
  • Highly proficient with Microsoft Office (particularly Excel, Word and PowerPoint)  
  • Excellent attention to detail with the ability to produce an accurate and high-quality documents and correspondence
  • Highly organized with a proactive mindset
  • Ability to multitask and prioritize using own initiative
