Rental Coordinator – Toronto

Salary Up to $40,000 + Benefits + Vacation

Our client, a leading residential real estate developer, is seeking a Rental Coordinator to join their team! The role will be hands on, as you will be tasked with ensuring all rent payments are received and processed on time, preparing monthly charges, and assisting the property manager with coordination of maintenance and repairs. The successful candidate will be proactive and a good communicator, with excellent organizational abilities.


  • Ensure all rent payments are received and process rents on time
  • Prepare keys for move in and move out
  • Become a primary point of contact for tenants, agents and liaising with clients for the organization of on-site tours, pricing, data sheets, and other leasing details
  • Prepare/mail cash statement and prepare monthly charges
  • Update monthly control sheets
  • Update cheque log
  • Prepare renewal letters for extended lease
  • Update skyline profiles for both owner and tenant
  • Update property manager if there is an NSF cheque, if lease expires soon, and all other matters that relate to owner and tenant
  • Assist Property Manager to coordinate all needed maintenance, repairs and warranty maintenance
  • Filing for Tarion (30 days, 1 year and 2 years), as well as regular filing
  • Engage in active customer retention programs with existing tenants
  • Liaise with accounting to obtain pricing of tenant improvements and assist with tenant payment schedules, arrears and collection activities
  • Assist with deals in process, including lease status reports, insurance certificates and utility account set-up confirmations
  • Fax, scan and copy all documents required, book boardrooms and schedule meetings for all stakeholders involved within the leasing department


  • Minimum of 2 years residential real estate experience
  • University or College degree or real estate related preferred
  • Advanced skills in Microsoft Office software
  • Demonstrated excellence in written and verbal communication, including external client contact and meeting facilitation 
  • Strong client service and negotiation skills 
  • Ability to react to opportunities in a timely and proactive manner to meet tight deadlines
  • Capable of working in a cross functional team, with senior leadership and peers in a team based environment, but also work with little supervision


  • Base Salary Range of up to $40,000 (commensurate upon experience)
