Office Coordinator & Processing Administrator

Salary Up To $65K

Our client, a start up organization and Mutual Fund Dealer is looking for a motivated and eager individual to join the team.  The Office Coordinator & Processing Administrator will have the opportunity to work in a dynamic role that plans to evolve as the company grows.  As the Office Coordinator & Processing Administrator, you will assist in testing the company software programs to determine and report back on the user experience.  You will provide and offer direct input and feedback to the technical group to ensure all systems run as efficiently as possible.  The Office Coordinator & Processing Administrator will be service focused and a point person in managing and processing all client requests.  If you are excited to be a part of a new up and coming organization, then we want to hear from you!


  • Assist supervisor in developing and leading department initiatives and workflow
  • Support the Compliance department in its function to maintain books, records and other documents necessary to the proper recording of transactions that the Company executes on behalf of others
  • Develop and lead implementation plans across department to improve efficiency and quality
  • Ensure administration team is actively demonstrating best practices
  • Support inbound calls from financial advisory teams doing business with the Company
  • Process trades and transfers in/out of the Company's custody on a daily basis
  • Ensure all Nominee accounts held by account holders reflect accurate positions
  • Ensure that processing delivered within regulatory & promised SLA timeframes
  • Perform investigation on trades and transfer in and out requests when required
  • Special projects and travel will be required on occasion


  • 5 or more years’ relevant experience in the mutual funds industry is required
  • University Degree or College diploma in Finance or Business
  • Completion of IFIC operations and/or CSC required
  • In depth experience with registered plan administration is a must
  • Knowledge of industry databases (i.e. FundSERV) definite asset) as well as MS Office
  • Excellent verbal & written communication skills
  • Excellent organizational and planning skills with an ability to problem solve
  • Ability to accept challenges and adapt to change
  • Ability to perform duties with minimal direction
  • Strong customer orientation with emphasis on relationship building and conflict resolution
