Our client, a globally known Insurance Company, has a temporary staffing needed for an Executive Assistant in their downtown Toronto office.

Start Date: ASAP

Duration- 2-3 months

Pay Rate: 25.00/hr+

 Accountabilities:

•         Manages all aspects of the Executives calendar to ensure meetings are prioritized with internal and external clients/business partners as appropriate;

•         Effectively works with other EA’s in scheduling and coordination for meetings and other needs;

•         Proactively anticipates the needs of the Executive in a dynamic and fast paced environment;

•         Monitors and responds to Executive’s e-mail;

•         Coordinates meetings including preparing agendas, letters, memos, presentations and reports.  Also helps to prepare the Executives  for meetings including advance generation of meeting attendee bios;

•         Effectively and proactively manages events organized by the Executive, including town halls and other functional events, assisting in organizing content, attendees, facilities, and presenters;

•         Assists in moving forward the paperless agenda

•         Assists in the preparation and distribution of reports and internal communications;

•         Manages all travel arrangements and accompanying material;

•         Provides filing and the necessary record keeping;

•         Answers, screens and direct phones calls, responding independently and providing as much

•         Maintain contact with Executive via company-issued mobile device;

•         Assists other leaders with administrative support as needed;

•         May perform other administrative duties as required.

Key Competencies:

•         A minimum of 5 years’ experience working as an Executive Assistant supporting senior Excecutives

•         Proficiency in Microsoft Office Suite; experience creating PowerPoint presentations;

•         Strong interpersonal skills, ability to work in a team environment as well as independently;

•         Able to be proactive and take initiative, strong problem solving skills;

•         Able to handle and maintain confidential company information;

•         Excellent organizational and time management skills;

•         Demonstrates accuracy and thoroughness;
