Senior Administrative Assistant

Our client, one of Canada’s largest investment management firms is currently seeking a dynamic and professional Senior Administrative Assistant to join their team! You will be responsible for providing a high level of support to 3 Senior Vice President and managing a variety of administrative tasks. The ideal candidate will be a resourceful self-starter who thrives in a fast paced and challenging environment and enjoys multi-tasking! If you are detail oriented and can manage highly confidential information with a high level of integrity and discretion, then we would like to speak with you!

Responsibilities:

  • Manage the daily calendar and activities for the SVP’s, and team members as requested
  • Coordinating travel arrangements for the teams
  • Coordinating and scheduling meetings and presentations
  • Manage conflicting and evolving demands on schedules
  • Organizing and preparing for various meetings/events – print materials, book & prepare room, order catering, set up etc.
  • Manage incoming communications and respond appropriately
  • Assist in the development and preparation of reports and presentations
  • Coordinating payments for invoices and preparing expense reports
  • Liaising with all levels and departments of the company while representing the Investment Management team in a positive and professional manner
  • Anticipating the needs of the SVP’s and the teams to increase effectiveness
  • Providing back-up to the other Assistants within Investment Management
  • Other administrative duties as required including filing, photocopying, faxing etc.

Qualifications:

  • A minimum of 4 years Administrative Experience supporting Senior Level Staff
  • Bachelors Degree in Business or a related field
  • Excellent communication skills, both verbal and written
  • Strong organizational skills with high attention to detail, follow-through capabilities and the ability to meet deadlines
  • Handle confidential information in a tactful and professional manner and work well under pressure
  • Ability to take initiative and exercise sound judgement
  • Advanced PC skills, including Word, Excel and PowerPoint, Microsoft Outlook
  • Knowledge of the mutual fund industry is an asset
  • Bilingualism (French/English) is an asset
