Bagg Managed Resources is looking for an Executive Assistant to work in downtown office of one of our financial clients

Duration: 2-3 month contract
Pay Rate: $25/hour 
Working hours: regular, flexibility and overtime may be required on occasion
Location: Downtown Toronto

Main Accountabilities: 

  • Field calls, determine nature of business, identify priorities and respond appropriately 
  • Monitor e-mail and incoming mail. Alert to issues requiring immediate attention; look for documents that require review or questions that need a response 
  • Prepare daily binder of pre-reading materials and items that require attention for the SVP, Strategy and Corporate Development 
  • Manage the calendars of the executives on the team, including arranging and coordinating appointments, meetings and conference calls, and managing conflicting demands and changes to schedules 
  • Manage administration and expenses for the group cost centres including expense reimbursement, payment of invoices, and budget reporting as required 
  • Coordinate travel arrangements (including international travel) and accompanying material 
  • Manage access forms and moves (including details of office space, computing etc) for new or departing team members 
  • Order supplies and maintain the office, including managing the servicing of office equipment such as printer 
  • Coordinate and attend regular team meetings; on an occasional basis, arranging off-site team meetings, learning events or social events 
  • Other duties as requested 


  • Ability to take initiative and work independently with little supervision/ direction, and to manage changing priorities. 
  • Ability to handle and maintain the confidentiality of highly sensitive information 
  • Excellent oral and written communication skills; excellent interpersonal skills, including the ability to deal comfortably with all levels of the organization 
  • Excellent organizational skills; ability to manage conflicting priorities and solve problems 
  • Sound judgment; ability to make pro-active and effective decisions 
  • Ability to anticipate and respond to needs 
  • Knowledge of business related policies and practices 
  • Advanced PC knowledge which include MS Office, (Word, Excel, PowerPoint), and Lotus Notes 
  • Able to quickly learn and be proficient in understanding the overall Sun Life organization 
  • Must possess a high level of commitment and dedication to the role and team 

Prior Experience: 

  • Executive administrative assistant experience, supporting one or more SVPs or VPs 
  • Experience working successfully under pressure
