Position:  Associate Director, Production – Professional Services

Salary: $80 to $100,000 plus company benefits and pension

Our non-profit client is seeking an Associate Director to join their diverse and passionate team who is committed to removing barriers for international students and professionals. This organization excels in providing international students and skilled immigrants with credential assessments, research, and consulting services. For many years, they have helped international students and professionals achieve their goals in the United States and Canada.

Our client is looking for an individual who thrives in a multi-tasking, deadline driven, high volume and fast-paced work environment with a sense of urgency. Working with the Director, the Associate Director oversees the day-to-day operations of Academic Records. Someone with high standards for self and others is ideal.

We are looking for senior mailroom operations and/or high-volume document production manager with leadership experience.

If you come from the world of document record keeping, courier/postal service, printing, or record management within banking or law, you would have an advantage for this role.

You will:

  • Manage and direct day to day mail and imaging operations - determine daily priorities, assign responsibilities as needed.
  • Accurately and efficiently process all incoming and outgoing mail/packages while ensuring all deadlines for mailings are met.
  • Ensure that managers and team leads are responsive and timely in addressing/resolving production related issues in a deadline driven environment
  • Provide direction to the functional managers by communicating policies and procedures while building employee morale, motivation, and commitment in a customer focused environment.
  • Forms, develops and coaches an operations team in a high-volume performance based environment
  • Provide on-going guidance, support and training on managing and developing people
  • Direct the resolution of operational and maintenance issues to prevent operational delays
  • Continuously monitors processes and recommends changes that enhance productivity
  • Reviews existing quality control and reporting procedures, applying improvements where applicable
  • Analyze production metrics to drive service level improvements
  • Manage operational and staffing plans to meet the extreme fluctuations (holidays)
  • Direct the resolution of operational and maintenance issues to prevent operational delays
  • Institute metrics to track errors and take remedial actions as necessary
  • Provides recommendations for risk mitigation, continuous improvement and/or issue resolution
  • Implement effective escalation, management and resolution of deficiencies
  • Ensure appropriate corrective and preventative action plans are defined and implemented to reduce errors and increase quality and speed
  • Works collaboratively with cross functional teams and managers to resolve organizational issues
  • Ensure appropriate quality metrics are in place, measured, and consistently tracked and reported on
  • Maintains appropriate staffing levels
  • Oversee equipment maintenance schedules

Requirements:

  • Bachelor’s degree or equivalent relevant experience
  • Five years of Operations and Management experience
  • Demonstrated people leadership skills
  • Ability to analyze data and statistics
  • Experience and successful track record of line and cross-functional team management
  • Demonstrated strong organizational and interpersonal skills, building relationships with effective communication, influencing, conflict resolution, critical thinking and problem solving with a keen attention to detail
  • Operational experience in developing and establishing operations/production quality systems.
