Administrative Assistant - Intake

Salary Up to $55,000 + 3 Weeks Holiday + Fantastic Benefits + Pension Plan!!!

Our client, a professional governing body, is seeking an Administrative Assistant - Intake to join their team! You will be responsible for performing administrative duties to support the efficient intake, processing and tracking of all inquiries and complaints. The ideal candidate will be a strong critical thinker with excellent attention to detail and strong organizational skills. You will succeed in this role if you have excellent interpersonal skills, including a high-level of diplomacy, patience and tact.


  • Intake and process all complaint inquiries and formal complaints
  • Respond to telephone and email inquiries about the complaint process
  • Prepare customized and standard correspondence using Microsoft Word templates
  • Compile prior decisions involving members for all complaint files, in accordance with legislated deadlines
  • Track the status of all complaint files for the purpose of complying with legislated deadlines
  • Create and update complaint files using case management software
  • Open new hardcopy complaint files
  • Communicate with investigators regarding file status
  • Prepare correspondence to complainants and members about file status, including reasons for delay and expected date of completion, as required by the legislation
  • Provide backup support to Administrators as required


  • Completion of 2-3 year Community College program
  • 3-5 years of position related experience
  • Extensive knowledge of Microsoft Office software, including Word, Excel and Outlook
  • Excellent written and verbal communication skills
  • The ability to multi-task and work in a fast-paced team environment
  • Experience working in a health care setting or working with vulnerable people an asset
